POSITION SUMMARY:
Reporting directly to the Executive Director, the Executive Assistant provides high-level administrative support to ensure the efficient and professional operation of the Utility. This position requires exceptional organizational skills and the ability to thrive in a dynamic executive environment. Responsibilities include managing complex schedules, conducting research, compiling and analyzing data, drafting and editing reports and correspondence, and coordinating with government entities. The Executive Assistant also facilitates communication between departments by routing and monitoring work assignments and supports the development and implementation of policies, projects, and initiatives.
The ideal candidate must be highly organized, capable of working independently with minimal supervision, and skilled at handling sensitive matters with strict confidentiality. The ability to manage multiple priorities under tight deadlines, analyze problems effectively, and recommend solutions is essential. Strong communication and interpersonal skills are required to succeed in this role.
This is an “at-will management” position, and the incumbent serves at the discretion of the Executive Director.
MINIMUM REQUIREMENTS: (Any combination of education & experience that provides required knowledge & abilities)
Bachelor’s degree in: Public Administration/Affairs, Business Administration or a related field and 2+ years of experience in a position which requires research, extensive written and oral communications, and reporting.
Experience in administrative analysis, research and report preparation, and presentation.
Techniques of working with the public.
Administration of local public agencies.
Familiarity with local public agency operations and Arkansas-specific regulations, including ADEQ and NRD.
Current political situations in Arkansas water or wastewater utilities.
Word Document, Microsoft Excel, Power Point and office software.
DUTIES AND RESPONSIBILITIES:
Conduct research and gather data on policies, procedures, legislation, and regulations.
Reviews and summarizes material, offering recommendations as appropriate.
Draft and prepare correspondence, reports, and official documents for the Executive Director.
Act as a liaison for the Executive Director, facilitating communication with staff, wastewater customers, landowners, and governmental representatives and the general public, as required.
Prepare monthly Commission agenda packets, ensuring completeness and accuracy of supporting materials.
Respond professionally to inquiries from the public and governmental representatives, professionally and efficiently.
Manage the Executive Director’s calendar, including scheduling and travel arrangements.
Maintain organized records, files, and databases for the Executive Office.
Perform additional tasks as assigned by the Executive Director.
WORK ENVIRONMENT:
Must be able to: Work in an office environment - not eligible for remote work.
